6 Things to Consider When Adding Headshots to an Employee Engagement Event

Professional headshots can be a valuable addition to an employee engagement event, but the experience matters. Discover 6 things to consider for seamless, efficient, and engaging on-site photography.

Planning an employee engagement event takes a lot of coordination. There are schedules to manage, activities to organize, employees to communicate with, and a hundred little details that make the difference between an event that runs smoothly and one that feels chaotic.

If you’re considering adding professional headshots to your next employee engagement day, the last thing you need is another complicated project to manage.

The good news? Professional headshots are one of the highest-value additions you can make to a corporate event. Employees receive a polished, professional image for LinkedIn and the company intranet, while your organization secures consistent team branding across all channels.

The key is choosing a corporate photography partner who understands that the experience surrounding the photography is just as important as the photographs themselves.

Based on our experience photographing corporate teams of all sizes across the Greater Toronto Area, here are six essential things to consider when adding headshots to your next event:

1. Effortless Scheduling:

Make it easy for employees to book their own appointment.

When organizing an event for dozens—or hundreds—of employees, scheduling can quickly become your biggest headache. You shouldn't have to manage spreadsheets, send back-and-forth emails, or scramble to rebook someone when their schedule shifts.

Look for a photography team that provides a self-service booking portal. Employees select their own time slot in advance and handle their own rescheduling if conflicts arise. The goal is simple: your employees manage their appointment, and you don't have to!

2. Seamless Event Flow:

Headshots should complement your event—not disrupt it.

Employees shouldn't have to miss a keynote session or spend half their afternoon waiting in line for a headshot. A well-planned headshot experience works seamlessly within the rhythm of your event, keeping employees moving and your schedule on track.

A thoughtful headshot setup includes:

  • Clear signage and designated arrival times so employees know exactly where and when to go

  • An efficient studio workflow that gets participants photographed and back to their day in minutes

  • Pacing designed around your master event schedule to minimize wait times and prevent bottlenecks

3. Effective Image Management:

Think about what happens after the photos are taken.

Getting everyone photographed is only half the job. Imagine receiving a bulk folder with hundreds of files named IMG_4827.jpg, IMG_4828.jpg, and IMG_4829.jpg. Someone on your HR or marketing team now has to spend hours identifying each face.

To avoid this administrative nightmare, ensure your photography partner renames and metadata-tags every image file with the correct participant’s name before delivery.

4. Custom Branding:

Align the experience with your corporate brand.

Your engagement day is an opportunity to reinforce company culture. The headshot activation should feel like an intentional part of that culture—not a generic third-party vendor set up in a hallway.

Integrating custom branding into the experience includes:

  • Customized online sign-up and booking confirmation pages

  • Branded photo-selection galleries

  • Consistent lighting, backdrops, and styling guidelines that match your company's visual identity

These details communicate a clear message to your team: This experience was thoughtfully planned for you.

5. Privacy Matters:

Protect employee privacy with individual galleries.

When headshots are delivered, employees shouldn't have to scroll through a public gallery of their coworkers' photos to find their own.

Providing private, password-protected galleries for each participant ensures a secure and comfortable experience. It gives employees confidence in how their images are handled and makes selecting their favourite shot seamless.

6. Instant Access:

Deliver headshots instantly.

There’s no reason employees should have to wait days—or weeks—to access their new headshots. Today’s technology allows for professional retouching and instant image delivery, giving each employee polished, studio-quality images while the experience is still fresh.

When choosing your photography partner, look for a team that can deliver not only beautiful images, but also a seamless experience from start to finish—including fast, effortless access to the final headshots.

The partner you can trust for your next employee engagement event.

The team at One Tree Studio can deliver all these things and more. Adding professional headshots to your employee engagement day shouldn't mean adding an administrative burden. When headshots are thoughtfully integrated, they deliver lasting value:

  • For your organization: Consistent, high-quality team imagery across websites, decks, and media kits.

  • For your employees: A practical, high-value professional asset they can use on LinkedIn and internal profiles.

  • For you (the planner): A stress-free process where scheduling, file management, and delivery are completely taken care of.

BMO Marketing Summit: Bringing Professional Headshots to a National Team

See how One Tree Studio photographed hundreds of professional corporate headshots during a BMO internal event in Toronto with a fast, studio-quality on-site headshot experience.

Each year, BMO brings together its marketing team from across Canada for an annual all-hands meeting. While these gatherings allow attendees to collaborate, share ideas, and strengthen connections, they also create a rare opportunity to provide every employee present with a consistent, professional headshot during a single event.

Recognizing this unique opportunity, BMO partnered with One Tree Studio to provide unlimited headshots during the event. Rather than asking employees to schedule individual appointments throughout the year, the company was able to offer nearly the entire team professional images while everyone was already together. Employees received a valuable resource they could use for LinkedIn, company profiles, speaking engagements, and other professional purposes, while BMO benefited from a consistent, unified company-wide look.

Making the Most of a Rare Opportunity

To keep the experience organized and minimize disruption to the proceedings, employees were sent to the portrait station in small groups throughout the day. This allowed participants to receive their headshots without waiting in long lines or being pulled out of the rest of the meeting schedule. Our mobile studio was set up adjacent to the event, making it easy for employees to step away briefly before returning to the day's agenda.

For organizations with employees spread across multiple offices or regions, opportunities to photograph an entire team are rare. Annual meetings, conferences, and off-site events provide an ideal time to update headshots without requiring employees to book separate sessions throughout the year.

A Seamless Headshot Experience

Each participant received a professionally guided portrait session with studio lighting and expert direction, creating polished, consistent images across the entire team. Every photograph also received professional basic retouching before delivery, ensuring employees received finished images that were ready to use immediately.

Rather than selecting a single image for editing or arranging additional retouching later, participants received complete galleries of polished portraits. Incorporating retouching into the event itself also provided a more efficient and cost-effective solution than coordinating individual editing requests after the fact.

The process fit naturally into the event schedule, allowing employees to update their professional headshots without interrupting the purpose of the meeting itself.

Creating Long-Term Value for Employees and BMO

Professional headshots continue to provide value long after the event concludes. Employees received updated portraits they can use across LinkedIn, company profiles, speaking engagements, and other professional opportunities, while BMO gained a unified library of consistent headshots that supports internal communications, employer branding, and marketing initiatives.

By incorporating unlimited headshots into an event that was already bringing employees together from across the country, BMO was able to maximize the value of the meeting while giving its team something they could continue using for years to come.

A Continued Partnership with BMO

One Tree Studio has partnered with BMO on a variety of photography projects, including team headshots and event photography. The annual marketing summit is another example of how professional photography can be thoughtfully integrated into an existing event to create value for both employees and the organization.

At One Tree Studio, we specialize in creating professional headshot experiences that fit seamlessly into conferences, off-site meetings, and company events. If you're bringing your team together for an annual meeting, employee engagement event, or corporate retreat, we'd love to help make the most of the opportunity by providing premium images your employees and your organization will continue to benefit from long after the event is over.

Company Headshots…made easy!

When you have hundreds of team members, the thought of getting everyone’s headshot done (and done well) can be intimidating!

BUT…when you have the right photography team, the process is a breeze! With our proven approach to headshots, your team will look great, and the experience will be simple - AND even enjoyable!

STEP 1: Contact us

When you contact us and let us know how many people need headshots, we’ll give you a quote with no hidden fees. You’ll know upfront exactly how much it will cost to create the images you’re looking for. If you don’t know exactly how many people will be participating, that’s no problem! We’ll give you a base price, and a per person price, so nothing is a surprise. You can even use our company headshot price calculator to get an instant estimate right now!

Step 2: Pick Your Style

Once you’ve booked our company, we’ll send you an idea page with samples of company headshots including different backgrounds and colour ideas. You can choose the style that suites your company best. If you’ve seen a style on the internet that you like, just send us your inspiration photos, and our team is able to create a matching look for you. We’ll make sure that each headshot we provide for your company matches the style selected.

Step 3: Sign Up

Our team provides you with a custom page on our website. This page will have all the information your colleagues need to prepare for their headshots. Just forward the link to everyone being photographed, and each person can sign up for the headshot time slot that’s convenient for them.

Depending on your company’s schedule and the number of people being photographed, we can set up one headshot day, or multiple days. We’re there to serve you with the solution that works best for you!

Do you have people who will be away for each headshot day? That’s no problem! The missing people are invited to come to our Markham studio at a time that’s convenient for them. If they come anytime during the month after your headshot day, they’ll be included in the quantity group pricing provided in your quote.

Step 4: Headshot Day!

On headshot day, our team arrives early to set up our professional studio at your location. We bring the same set-up we use at our studio. Yes, it’s more gear than most photographers would bring, but our proven headshot method will give you the most flattering light and consistent results over hundreds of people. Headshots are our specialty!

Step 5: Pick Your Favourite Headshot

When each person visits us on headshot day, they’ll get to review all their images and choose their favourite on the spot. The favourite headshots all receive our professional retouching service, including blemish and stray hair removal, contouring, teeth whitening, and help with under-eye shadows. You can decide ahead of time how many headshots you’d like each person to choose with professional retouching.

It is our top priority to make sure everyone loves their headshots! That’s why we have each person review their headshots and pick favourites right away. If they don’t like anything we’ve taken, we’ll continue to shoot until we have a winning shot!

Step 6: Amazing Headshots — Organized, Retouched, and Delivered

Our team takes about 1-2 weeks to professionally retouch each chosen headshot. Once everything is complete, we’ll send you a link to your company’s private headshot gallery. Inside the gallery, you’ll see all your beautiful headshots organized and named to match each participant’s name. This makes file organization simple!

You’ll also see a folder with every headshot proof image (not retouched). If you’d like any additional headshots retouched, just pick them from that folder and let us know.

Since it’s our top priority to make sure you love your headshots, if anyone needs any changes to the images we’ve provided—just let us know. We’re happy to help!

Check out some highlights from the hundreds of headshots provided to CBRE! We’ve love to serve you too, so please contact us soon!
